Introduction – What does this module offer me?

The Order module helps you digitally handle the ordering process for food and beverages and provides your guests with a modern, contactless experience. It ensures easy management of orders, flexible serving locations, and automatic notifications – directly integrated into your Guestnet platform.


Feature Overview

These features are available to you in the Order module:

  • Predefinable settings such as intro text, base price per person, and order period

  • Display of images in the list view

  • Query of the number of persons for the order

  • SMS notifications to stored phone numbers

  • Connection to printers/POS devices via URL

  • Individual categorization and arrangement of products

  • “Show Only” function to display certain categories

  • Management of serving locations with flexible opening hours and QR code generation

  • Product management: create, edit, deactivate, delete, and sort

How to set up the Order module

  1. Open the backend area Guestapp > Order

  2. Define under Settings the intro text, base prices, serving times, and phone numbers for SMS notifications


Categories and serving locations

In the Categories and serving locations area, you can define how products are structured in the Order module and where orders should be served.

Categories

Create categories and serving locations and customize them individually (colors, restrictions, sublocations, notifications)


Categories can be freely arranged by dragging and dropping using the gray dots before the category in the category overview.

Both new and already stored areas can be edited.

Serving locations

Serving locations define where an order should be delivered or where it should be consumed, for example pool, terrace, bar or room. QR codes can also be generated for the serving locations.

When editing a serving location, several settings areas are available:


General

In the General area, you can define the title of the serving location and optionally add an information text. The serving location can also be hidden if needed.

The information text is shown to guests during the ordering process and can be used, for example, for short explanations or important information.

The note text will be displayed to the guest as follows:

Sub-locations

Sub-locations can be used to further divide the serving location, for example by lounger, table or area.

You can define whether the sub-location should be requested and whether it should be a required field.

There are two modes for sub-locations:

Free text field:
The guest can enter the sub-location manually, for example a table or lounger number.

Predefined options:
Fixed sub-locations can be created for guests to choose from, for example “Lounger 1”, “Lounger 2” or “Table 12”.

The predefined sub-locations can be activated or deactivated individually. This means guests can only select from the currently active options. This ensures more consistent information and makes it easier to assign orders correctly.

Notification

For each serving location, you can define individually where orders should be sent.

The following options are available:

  • email address

  • number for SMS reception

  • URL for printer or receipt printer

If nothing is entered here, the general settings from the Order module are used.

It is also possible to deactivate the serving location for specific days.

Basic price per order

A separate basic price per order can be set for each serving location.

This allows you to define a different service or delivery fee for specific areas, for example.

Opening hours

Individual opening hours can be defined for each serving location. In addition, specific weekdays can be deactivated if orders should not be possible for this serving location on those days.

Optionally, the time selection can be deactivated if the guest should not select a specific time.


Add Products

Add new products or edit existing ones, including description, price, and image. If a product is only available on certain days, this can also be configured.


Tip Function

The tip function can be activated or deactivated in the Order module under “Settings”.

You can also define a custom Intro text.

Order Process:

  1. After completing the order, the guest is asked: Would you like to leave a tip?”

  2. Guests can choose one of the suggested amounts (5%, 10%, 15%, 20%) or enter a custom amount using the pencil icon.


  3. The selected amount is added live to the total order sum and transmitted to the system as an absolute value.

  4. In ASA and Protel Air, direct posting is possible. For this, a separate tip item must be created in the PMS.

  5. In the backend, the amount is recorded as a separate product and is also displayed in the order overview and in the confirmation email.


Show Only Function

Use the “Show Only” function to display only selected categories

  1. Find category ID: Each category has its own ID.

  2. Adjust link: add the category ID in the link, e.g.:

    https://professional.guest.net/order-service?showonlycategories=534
  3. The number “534” stands here for the ID of the desired category.

  4. Multiple categories: to show multiple categories, separate the IDs with a comma, e.g.:

    https://professional.guest.net/order-service?showonlycategories=534,533

FAQ

Does the guest have to be logged in to use the module?

No, the guest can use the Order module without logging in.

Note: If it has been specified in the main menu that the module is only visible to logged-in guests, it can only be viewed by registered users.

Are the data saved?

Yes, all orders and information are accessible in the backend and linked to the guest account.

Can I send SMS notifications to multiple numbers?

Yes, multiple phone numbers can be stored separated by commas.

Can I connect the orders to a printer?

Yes, you can store the URL of your printer. Further information can be found here.

Can I link the base fee IDs from my POS system?

Yes, you can currently link the base fees (base price per order) to Guestnet using the External ID from your Mergeport or APRO account – either uniformly for all orders or individually per service location.

General:

Settings > People / Base price

Per serving location:

Serving locations > Edit serving location

Is it possible to create a direct link to a specific serving seat in Order?

Yes, it is possible to prefill not only the serving place but also the serving seat directly via a link.

An example for a direct order to a specific lounger is:
https://URL.guest.net/order-service?serving_place=23&serving_seat=1

  • Replace serving_place with the ID of the serving place.

  • Replace serving_seat with the number of the serving seat (e.g. lounger).

For each seat, a dedicated QR code must be generated that points directly to the corresponding link.

Can I exclude certain days?

Yes, both serving locations and individual products can be excluded for certain days.

Can I hide a serving location?

Yes, in the backend, go to the Order module, select Serving locations, edit the desired location, and hide it under "Serving location options".
